Business letters serve as formal communications between organizations, individuals, or groups. They convey important information, request action, or establish relationships. Here are some common types of business letters and their purposes:
- Cover Letter:
- Introduces a job applicant to potential employers.
- Highlights relevant skills and experiences.
- Provides a personal touch to a resume.
- Inquiry Letter:
- Requests information or clarification on a specific subject.
- Can be used to inquire about products, services, or policies.
- Complaint Letter:
- Expresses dissatisfaction with a product or service.
- Requests resolution, compensation, or an explanation.
- Adjustment Letter:
- Responds to a complaint, addressing concerns raised by the customer.
- Provides solutions or compromises.
- Letter of Recommendation:
- Endorses a candidate for a job or academic opportunity.
- Highlights the candidate’s qualifications and abilities.
- Thank-You Letter:
- Expresses gratitude to a person or organization.
- Common after interviews, business meetings, or for assistance received.
- Resignation Letter:
- Officially notifies an employer of an employee’s intent to resign from a position.
- Includes the last working day and expresses appreciation for the experience.
- Business Proposal Letter:
- Presents a formal suggestion or offer for collaboration or a partnership.
- Details the benefits and terms of the proposal.
- Meeting Request Letter:
- Requests a meeting with a colleague or stakeholder.
- Proposes times and objectives for the meeting.
- Follow-Up Letter:
- Checks in after a meeting, interview, or submission of a proposal.

- Memo (Memorandum):
- Internal correspondence within an organization.
- Used for announcements, reminders, or sharing information.
- Sales Letter:
- Promotes a product or service to potential customers.
- Aims to persuade the recipient to make a purchase.
